Choosing The Right Filing Cabinet In NZ
When choosing office elements it helps to know that some items have recommended space needs. Filing cabinets, for example, need sufficient space for drawers to be fully opened and pigeonhole units need adequate space for people to comfortably bend down in front of them to access the bottom level.
The walking space that leads up to your office or storage space should also be comfortable as well as sufficient to allow an emergency exit if that need should ever arise.
Space is expensive though, so how much of it is enough? Here are some tips for your filing cabinet space needs in NZ as well as additional items that you might have in the same space.
Standard Dimensions & Space For An Office
Filing cabinets can consume space quickly if not placed correctly or if too many small ones are used. Always aim to use vertical space first before going laterally.
A 600mm deep filing cabinet will need a minimum of 500mm to 550mm of space in front of it for a fully opened drawer or you won’t be able to access the files at the back. A 500mm deep unit will need 400mm to 450mm of space in front of it. To this amount, you must add standing room (about 600mm) or a “bending-over” room (about 1200mm).
Pigeon hole units and shelving don’t require pull-out space or door-swing space so they work well in tight arrangements. Sliding doors are also a space saver.
Shelving Units
Shelving units are usually 300mm or 350mm deep. The shelves are often closer to each other as stacking on shelves is not expected in an open-plan arrangement (for aesthetic neatness). Add space in front of them for standing or bending.
Traffic Flow Comfort
Something to keep high on the priority list is the comfort of traffic flow as people enter and leave rooms as well as move around them. There is nothing worse than playing “dodgem” cars with furniture or colleagues.
Consider how many people are likely to use the space at one time, either accessing the filing cabinets or flowing past them to reach another destination.
If the doorway is a busy one or the units are in a corridor leading to a busy destination (canteen ablutions or main entrance) then you need to plan sufficient space for people to walk past colleagues who are accessing the storage e.g. 500mm drawer space, 600 bending over space plus 1200mm walkway space equals 2300mm.
This example shows that storage units should not be placed in corridors with physical wall constraints but rather in open-plan areas or dedicated filing or archive rooms as the space requirements compound quickly.
